This article covers how to manage the people in your organization from the Users page — inviting new users, checking whether each person is fully set up, editing their details, and deactivating users who leave. It is for Admins and Managers. Managers can only manage users on their own team.
Note: If your organization uses SCIM, users are managed through your identity provider instead. See SCIM: Setup Guide.
The Users page
Go to Settings > Users. The page has two tabs: Users shows everyone in your organization, and Invitations shows pending invites.
At the top of the page, summary cards show your user count by role, how many users were active in the last 30 days, and how many users have email and calendar synced. You only see cards for roles your organization has, and the email and calendar cards only appear if those features are available for your organization.
Each user row shows their name and email, role and permission, team, job title, connection statuses and when they were last active.
Finding users
Search by name or email, or filter by team, role and connection status. You can also sort by column, and Group by team arranges users under their team with the team manager shown on each group header. Users without a team appear in a No team group at the bottom.
Checking a user's setup
The Connections column shows at a glance whether each user has completed their setup. Green means connected, red means there is a problem to fix, and gray means it does not apply to that user. A red status means Jiminny may not be capturing that person's meetings, emails or calls. Hover over an icon for the status:
Connection | Green | Gray | Red |
Email Connected | Not needed for this role | Email Not Connected | |
Calendar | Calendar Connected | Not needed for this role | Calendar Not Connected |
Desktop app | Desktop app Installed | Not needed for this role | Desktop app Not Installed |
Dialer | Dialer sync On | Not needed for this role | Dialer sync Off |
CRM | CRM Connected | CRM access Off | CRM Disconnected |
You only see icons for the features available to your organization.
Here is what to do for each red status:
Email Not Connected or Calendar Not Connected — check sync is turned on in the user's details, then ask the user to sign in with their Google or Microsoft account. Only they can complete the connection. This also covers expired connections — signing in again fixes them.
Desktop app Not Installed — ask the user to install it. See Invisible recording with the Jiminny Desktop app.
Dialer sync Off — turn it on from the user's details.
CRM Disconnected — the user's CRM connection has expired. Ask them to reconnect their CRM account.
To fix an issue across several people at once, filter by connection to find everyone with the same red status.
Last active shows how many days ago the user last used Jiminny — hover for the exact date. Users who have never logged in show Never, which is the quickest way to spot people who have not started onboarding. Re-send their invite from the Invitations tab or follow up with them directly.
Inviting a user
Click Invite User in the top-right of the Users page.
Enter their display name, primary email and, optionally, a secondary email.
Select their team and job title.
Select their role and permission. If you are not sure which role someone needs, see Deciding which Role a person needs.
Turn on CRM Access if the person records calls or needs to edit CRM data in Jiminny.
Click Send Invite.
Note: Adding a user with a paid role may increase your subscription cost — you will be asked to acknowledge this before sending the invite.
The person receives an email link to join, which expires in one week. If they miss it, re-send the invite from the Invitations tab.
Editing a user
Click the edit icon on a user's row to open their details. From there you can update their profile (name, emails, team, job title), change their role and permission, turn CRM Access, Calendar Sync, Email Sync and Dialer Sync on or off, and deactivate them. The Desktop App status is view only.
Note: Turning email or calendar sync on does not connect it — the user still needs to sign in with their Google or Microsoft account to complete the connection.
Deactivating a user
To remove someone's access to Jiminny, open their details from the edit icon and click Deactivate at the bottom.
Admins can deactivate anyone in the organization.
Managers can deactivate users on their own team.
You cannot deactivate your own account.
Deactivating removes the person's access but keeps their recordings and past activity available for playback and coaching.
Exporting the user list
Click Download to export the full user list as a CSV. The columns match what you see on screen — the export always includes everyone, regardless of any filters or grouping you have applied.
