This article explains how the Jiminny HubSpot integration works: which HubSpot plans are supported, how Jiminny connects, what it logs, and how it decides which Contact, Company or Deal a call is logged against. It is for HubSpot admins and Jiminny admins setting up or reviewing the integration.
How Jiminny connects to HubSpot
Jiminny uses the HubSpot REST API and the Jiminny Chrome Extension. There is nothing to install in HubSpot. If you want to see Jiminny data inside HubSpot, see User Guide for Jiminny HubSpot App.
All HubSpot plans are supported: Free, Starter, Professional and Enterprise. For high-volume teams, or if you run several HubSpot integrations, we recommend Professional or Enterprise (or the API add-on) because they come with higher API limits.
HubSpot applies per-account API limits. Jiminny uses caching and a shadow copy of some data to keep its footprint small. Expect around 500 API calls per user per day, depending on how much activity goes through Jiminny.
Connecting users
Jiminny matches users to HubSpot by email address, so each user's Jiminny email must match their HubSpot email. Activities logged by a user show the integration owner as the record creator in HubSpot, but the user themselves as the owner.
The integration owner
The integration owner is the Jiminny user whose HubSpot connection is used for metadata and object sync. This must be a HubSpot admin with full permissions, because reading metadata requires permissions that regular users do not have. The first user to connect authenticates with OAuth 2 during onboarding and becomes the owner.
To see whether HubSpot is connected and who owns the connection, go to Settings > Integrations. You can change the owner from the same page.
Note: After you change the owner, the new owner has to log in to Jiminny. They are redirected to a page where they connect their HubSpot account. Sync does not resume until they have done this.
What Jiminny logs to HubSpot
Jiminny logs video calls to HubSpot as engagements. The engagement type depends on the activity. To set up automatic or manual logging, see Setting up CRM Activity Logging. To log a call by hand, see Logging a call.
Logged activities appear on the timeline of the matching Contact, Company or Deal.
Logging call and meeting types
On Sales Hub Professional or Enterprise, you can add your HubSpot call and meeting types to the activities Jiminny logs, so they feed into your HubSpot reporting. First set up the types in HubSpot using HubSpot's guide, then map them to Jiminny activity types as described in Setting up Playbooks and Activity type.
How participants are matched to HubSpot records
Jiminny identifies who is on a call and looks them up in HubSpot by email address. How this happens depends on the type of activity.
Scheduled meetings. When a meeting is scheduled in your calendar, Jiminny checks each attendee against HubSpot using the email address in the invite.
Ad-hoc meetings. When a participant joins, Jiminny checks them against HubSpot using the email address they provided. HubSpot does not support lookup by phone number.
Calls and texts from HubSpot (only for customers using Jiminny Voice dialer). The Jiminny Chrome Extension embeds in the HubSpot page and, where possible, passes the record ID to Jiminny so the customer is set automatically. See HubSpot Dialer Integration with Jiminny.
Where a call is logged
Once Jiminny knows who was on the call, it decides which record to log the activity against. The same matching is used to associate emails with HubSpot records in Jiminny, but only video calls are logged to HubSpot.
Jiminny runs the following checks in order and stops at the first match.
1. Contact
Jiminny looks for a Contact whose email address exactly matches the customer participant's email address.
2. Company
If it finds a Contact, Jiminny uses the Company the Contact is associated with. If there is no Contact, Jiminny looks for a Company whose Company domain name property exactly matches the participant's email domain and logs the call against that Company.
3. Deal through the Company
Jiminny looks at the Company's Deals. The list is filtered and sorted by your Opportunity matching setting first, then Jiminny takes the first Deal that fits:
A Deal owned by the call host
Any Deal on the Company
4. Deal through the Contact
If the Contact is not associated with any Company, Jiminny anchors on the Contact instead and looks at the Deals associated directly with the Contact, using the same filtering, sorting and order as in step 3.
The Opportunity matching setting
This setting controls which Deals Jiminny considers and how they are ordered before the checks in steps 3 and 4 run. You will find it under Settings > CRM Activity Logging > Company-wide.
