By default, everyone in your organisation can see every activity and deal in Jiminny, except calls marked as private. Visibility rules let you narrow this per team, so a team only sees its own work, or the work of the teams it collaborates with. This is useful if you have multiple regions or business units that operate independently.
Note: Visibility rules do not override private calls. A call marked private stays private whatever the team's visibility setting.
Choosing a visibility setting
Each team has one of four settings. The setting controls what the team's members can see — not who can see them.
Setting | What the team's members can see |
Individual | Only their own activities and deals |
Team | Their own and their teammates' activities and deals |
Selected Teams | Their own team's, plus the teams you choose |
Everyone | Everything in the organisation |
Everyone is the default and the right choice for most organisations. Use Team or Selected Teams when different groups should not see each other's work.
Teams that work together
If two teams partner on deals — for example BDRs handing over to AEs — give each team Selected Teams visibility and select the other team. Both teams then see their combined activity and nothing else. This is usually done by region or business unit.
Senior leadership
Create a Leadership team with Everyone visibility so leaders see all teams, then set every other team to Team visibility so they cannot see the leadership team's activities and deals.
Setting a team's visibility
Go to Settings > Teams.
Select Edit on the team.
Choose the visibility setting and, for Selected Teams, pick the teams to include.
Save.
You can change or revert a setting at any time. Setting a team back to Everyone restores its access to other teams' activities and deals, apart from private calls.
How the rules are applied
Two things catch people out:
Managers are not members. A team's visibility rule applies to the people in the team, not to its manager. If you manage Team B but are only a member of Team A, you see what Team A can see. To see Team B's work, add yourself to Team B.
Users in no team are not restricted. They can see everything, but teams with restricted visibility cannot see their activities.
Where visibility rules apply
Visibility rules filter what a team sees in Team Insights, OnDemand and Deal Insights — the team filter still lists every team, but the results only include activities and deals the viewer can see. They also apply to the Dashboard, to Nudges, and to the Call Page: a user can be mentioned in a comment, shared a call or added to a playlist, but if they do not have visibility of that call they will not be able to open it.
Note: Exports are not filtered by visibility rules, because Jiminny cannot know who will read the exported file. If this matters to you, limit who has permission to export.
FAQ
1. I own a team but cannot see my team's calls — why?
Managing a team does not give you visibility of it. Add yourself as a member of the team, or check the visibility setting of the team you belong to.
2. I shared a call with a colleague and they cannot open it. Why?
They do not have visibility of the team that owns the call. Sharing does not bypass visibility rules — ask an Admin to adjust their team's setting.
