Pipedrive Integration with Jiminny

How Jiminny connects to Pipedrive, what it logs, and how calls are matched to People, Organisations and Deals.

This article explains how the Jiminny Pipedrive integration works: which Pipedrive plans are supported, how Jiminny connects, what it logs, and how it decides which Person, Organisation or Deal a call is logged against. It is for Pipedrive admins and Jiminny admins setting up or reviewing the integration.

How Jiminny connects to Pipedrive

Jiminny uses the Pipedrive REST API. There is nothing to install in Pipedrive. All Pipedrive plans are supported.

Pipedrive applies per-user API limits. Jiminny uses caching and a shadow copy of some data to keep its footprint small. Expect around 500 API calls per user per day, depending on how much activity goes through Jiminny.

Once connected, Jiminny imports your pipelines, stages, activity types and fields, and refreshes them twice a day. People, Organisations and Deals sync every 30 minutes.

Connecting users

Each user connects their own Pipedrive account with OAuth 2 when they sign up or log in to Jiminny. Activities Jiminny logs are written through the user's own connection.

The integration owner

The integration owner is the Jiminny user whose Pipedrive connection is used for metadata and object sync. This must be a Pipedrive admin with a Jiminny account, because reading metadata requires permissions that regular users do not have.

To see whether Pipedrive is connected and who owns the connection, go to Settings > Integrations. You can change the owner from the same page.

Note: After you change the owner, the new owner has to log in to Jiminny and connect their Pipedrive account. Sync does not resume until they have done this.


What Jiminny logs to Pipedrive

Jiminny logs video calls to Pipedrive as Activities. Each Activity includes:

  • Activity type

  • Subject

  • Date and time

  • Duration

  • Note, with the AI summary and action items from the call, link to the call in Jiminny

Activity types are matched between Jiminny and Pipedrive by name. If you add an activity type in one system, add it to the other with exactly the same name — see Setting up Playbooks and Activity types.

Optionally, the Deal stage can be updated as part of logging. Meetings marked as internal are not logged.

Note: Jiminny cannot log to a Deal that is not attached to an Organisation.


How participants are matched to Pipedrive records

Jiminny identifies who is on a call and looks them up in Pipedrive by email address.

  • Scheduled meetings. When a meeting is scheduled in your calendar, Jiminny checks each attendee against Pipedrive using the email address in the invite.

  • Ad-hoc meetings. When a participant joins, Jiminny checks them against Pipedrive using the email address they provided.

Note: Pipedrive does not support lookup by phone number, so participants who dial in by phone are not identified automatically.

Where a call is logged

Once Jiminny knows who was on the call, it decides which record to log the Activity against. The same matching is used to associate emails with Pipedrive records inside Jiminny, but only video calls are logged to Pipedrive.

Jiminny runs the following checks in order and stops at the first match.

1. Person

Jiminny takes the customer participant's email address and looks for a matching Person. Internal participants are skipped, so a call with only your own team on it is not matched.

2. Organisation

If it finds a Person, Jiminny uses the Organisation the Person belongs to.

3. Deal

Jiminny looks at the open Deals on the matched Organisation, and any open Deals where the matched Person is the contact. The list is filtered and sorted by your Opportunity matching setting first, then Jiminny takes the first Deal that fits:

  1. A Deal owned by the call host

  2. Any Deal in the list

The Opportunity matching setting

This setting controls which Deals Jiminny considers and how they are ordered before the checks above run. You will find it under Settings > CRM Activity Logging > Company-wide.

  • Most recently updated open (default) – open Deals, most recently updated first

  • Most recently created open – open Deals, most recently created first

  • Most recently updated – open and closed Deals, most recently updated first

  • Oldest created open – open Deals, oldest first


FAQ

1. Does Jiminny write the full transcript to Pipedrive?

No. Jiminny writes the AI summary and action items to the Activity's Note, and the full transcript and analysis are available on the call in Jiminny.

2. Can I open the logged Activity in Pipedrive from the call in Jiminny?

No. Pipedrive does not have a page for an individual Activity, so there is nothing to link to. Open the Person, Organisation or Deal in Pipedrive to see it.
