Managing domains

How to manage the internal domains that identify your organisation and the excluded domains and email addresses Jiminny should never record.

The Domains settings control two separate lists: the internal domains that tell Jiminny which participants belong to your organisation, and the excluded domains and email addresses that Jiminny should never record. This article explains what each list does and how to manage them. It is written for admins who manage recording settings.


Before you start

You need admin access to change these settings. If you cannot see the Recording settings, ask an admin in your organisation to make the changes for you.

To find these settings, go to Settings > Call Settings > Recording and open the Domains tab.


Internal domains

The domains listed here are treated as internal to your organisation. Jiminny uses them to work out who is a colleague and who is an external contact, so it can tell internal calls apart from external ones automatically. List every domain your organisation uses.

Note: If you remove a domain, participants using that domain are treated as guests from that point on. This affects how future calls are classified — it does not change anything already recorded.

Adding an internal domain

  1. On the Domains tab, next to Internal, select Add domain.

  2. Enter the domain (for example, yourcompany.com).

  3. Select Add.

The domain appears in the list straight away. If you have more than ten domains, use Show all to expand the full list.

Removing an internal domain

  1. Find the domain in the Internal list.

  2. Select the x next to it.

  3. Confirm by selecting Delete.


Excluded

Jiminny will not record meetings, calls or emails involving anyone on the Excluded list. Add a domain to exclude a whole company, or an email address to exclude one person. Use this when a contact has not agreed to be recorded, or when you are not permitted to record a particular company or person.

One match is enough to skip the whole conversation — if a single excluded participant is present, Jiminny does not record the meeting, call or email, even when other participants are not excluded.

Matching is case-insensitive, and a domain also matches its subdomains. For example, excluding example.com also excludes sales.example.com.

What happens for an excluded participant

The exclusion applies across all recording methods:

  • Dialer calls involving an excluded person are not imported into Jiminny.

  • Emails involving an excluded person are ignored and not imported.

  • Calendar events are still imported, but the meeting is marked as not recordable. The Rec button is disabled, and the reason is shown as Blacklisted.

  • The Notetaker does not join the meeting.

  • Invisible Recording with the Jiminny Desktop App does not start automatically.

  • Instant recording remains available for both the Notetaker and Desktop App, allowing a recorder to manually capture a specific meeting when needed.

Note: Exclusions only apply to future calls, meetings and emails. Anything already recorded stays in Jiminny — adding an exclusion does not delete existing recordings.

Adding an exclusion

  1. On the Domains tab, next to Excluded, select Add domain or email.

  2. Enter a domain (for example, competitor.com) or a full email address (for example, name@competitor.com).

  3. Select Add.

Removing an exclusion

  1. Find the domain or email address in the Excluded list.

  2. Select the x next to it.

  3. Confirm by selecting Delete.

Once removed, meetings, calls and emails involving that domain or email address resume being recorded.


FAQ

1. What is the difference between an internal domain and an excluded domain?

Internal domains tell Jiminny which participants are colleagues, so it can classify calls as internal or external. Excluded domains tell Jiminny not to record certain people or companies at all. They are two separate lists with different purposes.

2. If I exclude a company, will Jiminny stop recording a meeting where only some attendees are from that company?

Yes. One excluded participant is enough for Jiminny to skip the whole conversation, even if other attendees are not excluded.

3. Does adding an exclusion delete recordings we already have?

No. Exclusions only apply to future meetings, calls and emails. Existing recordings are not affected.

4. Can a meeting with an excluded participant still be recorded?

For both the Notetaker and Invisible Recording with the Jiminny Desktop App, automatic recording is turned off and the meeting is marked as Blacklisted, and dialler calls and emails are not imported. Instant recording still works for both methods, so a recorder can capture a specific meeting manually if they need to.

5. Do I need to add subdomains separately?

No. Excluding a domain also covers its subdomains automatically, and matching ignores letter case.
