Meeting Recording Consent

How Jiminny can automate recording consent

Jiminny provides several options for informing participants that a meeting is being recorded. These settings are available to Admins in Organisation Settings > Recording > Compliance.

Consent notifications are sent only when all of the following conditions are met:

  • The meeting is external

  • The Jiminny user is the host of the meeting

  • The guest is not a Jiminny user

  • The meeting is scheduled (not an instant invite)

Before the meeting

Compliance Message

A customisable message included in all consent emails sent to participants. You can also configure:

  • Logo — uses the logo uploaded in your General Organisation settings

  • Privacy Policy Link — links to your own privacy policy in the consent email

  • Compliance Message: included in the notification. Note that Commonmark formatting is supported.

Email Recording Consent (Opt-out)

When enabled, an email is sent to guests 10 minutes before the meeting starts, giving them the option to decline recording.

Compliance is checked 60 seconds before the meeting is scheduled to start. If any guest has declined, the meeting will not be recorded.

Explicit Consent (Opt-in)

When enabled, participants must actively opt in before the meeting is recorded. Meetings must be created in Outlook using the Jiminny Add-in. Compliance is checked 60 seconds before the meeting starts. If any guest has not responded or has declined, the meeting will not be recorded.

If consent is not obtained, the host receives an email notification letting them know the meeting will not be recorded (email and notification in Sidekick). If your organisation's policy allows, you can still request consent verbally at the start of the meeting and manually invite the Notetaker.

During the meeting

Audio Notification

IApplies to Notetaker joins the meeting only. When enabled, a spoken notice is played to inform participants that the meeting is being recorded. You can configure it to play:

  • Each time a participant joins (up to 1 minute after the meeting starts)

  • After a set time from the meeting starting (in 1 minute increments, up to 10 minutes)

The notification plays in English: "Please note, the call is being recorded for training purposes." It only plays for external meetings.

Note: If your meeting platform has a built-in audio notification for the same purpose, do not enable this setting. Zoom has a built-in recording notification — see Zoom's guidance on recording notifications for details.

Chat Notification

Applies to Invisible Recording only. When enabled, a customisable message is posted into the meeting chat when recording starts. Currently available on macOS only.
